Digital operations, connected

Your leads shouldn't get lost between systems.

Switchboard finds the gaps between your website, CRM, follow-up, booking, analytics and customer experience, then fixes the system around them.

Founder-led. Based in Dallas-Fort Worth.

How Switchboard routes your leads Five lead sources, website, Google, phone, ads and referrals, start on tangled and broken paths. Switchboard routes all five into one connected path through lead capture, CRM, follow-up and booking, ending at a customer. Leads from your website, Google, phone, ads and referrals start on disconnected paths. Switchboard routes each one through lead capture, CRM, follow-up and booking until it becomes a customer.

The gaps add up

The inquiry came in. What happened next?

A business can be very good at what it does and still lose people along the way. Usually the trouble is in the handoff from one system to the next.

01

The form nobody sees.

A potential customer fills out your form. The message sits in a shared inbox while they call the next company on the list.

02

The follow-up that slips.

Your team is busy doing the work. Quotes, callbacks and reminders depend on whoever remembers to send them.

03

The tools that don't talk.

The same details get typed into three places. You pay for the software and still do the connecting yourself.

These problems are connected, so we look at the whole operation, not one tool at a time.

What we take care of

All the pieces. One accountable partner.

Switchboard audits, rebuilds, connects and manages the systems behind your customer journey. The work is shaped by what your business needs, not by a package.

01

Website and conversion

Make it easy for the right customer to understand what you do and get in touch, especially on a phone.

Pages, landing pages, forms, calls to action, mobile speed

02

Lead capture and CRM

Give every inquiry a place to go, an owner and a clear next step, whether it came from a form, a call or a text.

Lead routing, contact records, sales pipelines, missed call capture

03

Follow-up and booking

Keep conversations moving without relying on someone to remember, and let customers pick a time that works.

Email and text workflows, scheduling, reminders, quote follow-up

04

Analytics and reputation

See which sources produce real customers, and make asking for reviews a normal part of finishing a job.

Source and call tracking, reporting, review requests

The connections matter too.

We connect the software you already use, so information reaches the right person without anyone retyping it. If a tool is doing its job, it stays.

A better path to becoming a customer

See where the connection breaks.

Choose a stage to see a common gap, then switch to see what changes when the pieces work together.

Follow a customer through your business

Common gap

Attention

People find you through search, ads and referrals, but nobody can say which sources produce the jobs worth having.

With a connected system

Attention

Every lead is tagged with where it came from, so you can see which channels bring in real customers and spend accordingly.

Common gap

Website

On a phone the page loads slowly, the number is hard to tap and the form asks too little to quote from.

With a connected system

Website

A fast mobile page with a tap-to-call number, one clear next step and a form that collects what your team needs to respond.

Common gap

Lead and CRM

Form submissions land in a shared inbox and calls go to voicemail. Nobody clearly owns the inquiry.

With a connected system

Lead and CRM

Each inquiry creates a contact record, gets assigned an owner and shows the team a visible next action.

Common gap

Follow-up

Quotes and callbacks depend on whoever remembers. A busy week means slow replies, and slow replies lose jobs.

With a connected system

Follow-up

An acknowledgment goes out right away, the owner gets a task, and reminders keep the quote moving until there is an answer.

Common gap

Booking

Scheduling takes three phone calls and a voicemail. Some people give up halfway through.

With a connected system

Booking

Customers pick a time that fits your team's calendar and get confirmations and reminders without anyone sending them by hand.

Common gap

Customer

Job details live in texts, notes and someone's memory. The customer ends up repeating themselves.

With a connected system

Customer

The whole history sits in one record, so anyone on the team can pick up where the last person left off.

Common gap

Review and referral

Happy customers are never asked for a review, and past customers don't hear from you again.

With a connected system

Review and referral

A review request goes out at the right moment, and past customers get a reason to come back or refer a neighbor.

What an Operations Review looks like

You get observations, not a sales pitch.

Before we talk, I go through your website, forms, tracking and booking the way a customer would. The call starts with what I found and what I would fix first.

  • Mobile speed and how easy it is to call or request a quote
  • Where form submissions and calls go, and who sees them
  • Whether tracking shows which sources produce customers
  • How booking, follow-up and review requests work today

Mobile speed score: 41 out of 100 Google PageSpeed Insights, mobile test

What I found

  1. The estimate form only asks for name, phone and email, so every lead arrives without job details.
  2. Form submissions go to a shared inbox. No one is assigned and there is no record of a reply.
  3. The site runs ads, but no call tracking is installed, so phone leads can't be traced to a source.

What I'd fix first

  1. Add roof type, insurance claim and preferred time to the form, and send each lead into the CRM.
  2. Assign every new lead an owner with an instant reply and a follow-up reminder.
  3. Install call tracking and source tags so each call and form shows where it came from.

How we work

Find the gaps. Make a plan. Stay with the work.

You get a clear scope, one person responsible for the project and a process built around how your team actually works.

  1. Audit

We follow the customer journey, inspect your tools and talk with the people who use them every day.

  2. Plan

We agree on priorities, scope, who does what and what a working result looks like.

  3. Build

We direct the website, CRM, workflow and tracking work in your plan, and every piece is checked before it goes live.

  4. Connect

We test each handoff end to end, document the setup and help your team put it into daily use.

  5. Manage

We stay involved, watch the systems, fix what breaks and improve the process as it gets used.

Built for established businesses

You have customers. Let's improve what happens around them.

Switchboard works best when inquiries are already coming in, a new customer is worth thousands of dollars, and your systems are making the work harder than it needs to be.

A good fit if

  • You suspect good inquiries are slipping through, but can't say where.
  • Your staff spend too much time moving information between tools.
  • Your software has grown one subscription at a time, without a plan.
  • You don't want to coordinate five vendors yourself.
  • You want one person to own the project and answer for the result.

Probably not a fit if

  • You need a one-off website edit or a single small fix. A freelancer will serve you better.
  • The business is brand new and inquiries aren't coming in yet.

Who we work with

  • Roofing
  • Foundation repair
  • Pools
  • Remodeling
  • HVAC
  • Plumbing
  • Construction

Home services and trades come first. We also work with professional services firms and automotive businesses.

About the founder

One person responsible for making it work.

TODO: approve bio below

I'm Piletji Mautjana. I started Switchboard because I kept seeing good local businesses lose customers in the gaps between their website, inbox, CRM and calendar.

My background is enterprise IT and cloud. I've spent years administering Microsoft 365 and Azure environments for large organizations, where the job is making many systems behave like one: accounts, email, security, data and the people who depend on them every day.

Most of the businesses I talk to don't need another tool. They need someone to look at the whole thing, decide what should change, and take responsibility for making it work. That's what Switchboard does, starting here in Dallas-Fort Worth.

  • AZ-104 Microsoft Azure Administrator
  • Security+ CompTIA
  • A+ CompTIA

Specialists contribute where the project needs them. Designers, developers and automation specialists may do parts of the build behind the scenes. Strategy, project direction, communication with you and final quality checks stay with Switchboard, so you have one place to bring a question and one person who answers for the result.

A few things you may be wondering

Good questions. Straight answers.

Have something else in mind? Email info@switchboarddfw.com and I'll answer it directly.

What exactly does Switchboard do?

We look at how a customer finds your business, gets in touch, is followed up with, books and becomes a customer. Then we decide what needs to change, coordinate the work and connect the systems so each step hands off cleanly to the next.

The result is a customer acquisition process that works the same way on a busy week as it does on a quiet one.

Is this just website design?

No. A website rebuild can be part of the work, but the website is only one stage. We also look at what happens after an inquiry arrives: where it goes, who responds, how fast, how it's tracked and how the customer is looked after.

Do we have to replace our existing software?

Usually not. We start with what you already have, including your CRM. If a tool is doing its job, we keep it and connect it properly. We only recommend a replacement when the current setup cannot support the plan, and we explain why before anything changes.

Who handles implementation?

Switchboard directs the project. Specialist designers, developers and automation contractors may handle parts of the build, depending on what your plan needs. Strategy, communication with you and the final quality check stay with Switchboard, and you always deal with the same person.

Can you work with our staff or marketing company?

Yes. We clarify who is responsible for what, work alongside the people already involved and document the workflows so nothing depends on one person's memory. If your marketing company runs ads, we make sure the leads they generate are captured and followed up properly.

What happens after everything is built?

We test it with your team, train the people who use it and stay involved while it settles in. Ongoing support can include monitoring, fixing issues, reporting and continued improvements. We agree on exactly what is covered before work begins.

How long does it take?

It depends on what needs to change. Some fixes take days. Larger engagements are usually phased over a few months, so there's time to build, test, train your team and see how the process holds up in real use. You'll get a timeline in the proposal.

Do you only work in Dallas-Fort Worth?

DFW is home and our main focus, and local clients can meet in person. We also work remotely with established businesses elsewhere in the US.

How much does it cost?

It depends on scope, and scope is defined after the Operations Review, once we understand your systems and what's worth fixing. You'll receive a written proposal that explains the work, timeline, responsibilities and cost before you commit to anything.

Let's look at the whole picture

Where is your business losing the connection?

Book a time or send a few details. Before we talk, I'll look at your website and how an inquiry moves through it, so the conversation starts with something useful.

What the first conversation covers

  • How inquiries reach your business today
  • What happens after someone gets in touch
  • What I noticed in your website, forms and tracking
  • Where a deeper review or a fix would make the biggest difference
